Know when the spreadsheet is the constraint

A spreadsheet can be enough at the beginning. It becomes fragile with several showrooms, overlapping introductions, long sales cycles and questions about who earned which reward.

Map the repeated failures before commissioning a platform: duplicates, forgotten updates, manual points or different interpretations of the same rule.

Define the rules precisely

What counts as a valid introduction? At what point are points awarded? What happens after a cancellation? Are rewards limited by stock, date or client? These are product decisions, not details to defer until development.

Clarify the roles of client, salesperson, showroom manager and administrator. Permissions and an audit trail reduce ambiguity.

  • Origin and owner of each introduction.
  • Visible stages of the sales journey.
  • Points, reversals and approval rules.
  • Reward catalogue, stock and redemption limits.

Design for the person who refers

The client should be able to share an invitation, understand the permitted status and see the rewards available under the programme. Vague updates weaken the confidence on which referrals depend.

A dedicated client area can answer common questions without moving every interaction into email or WhatsApp.

A working example

Khaph built Clube By Arabi in Brazil with a public introduction page, client area, unique links, referral pipeline, points, reward catalogue and multi-store administration. It demonstrates how a relationship programme can become a connected experience rather than scattered manual tasks.
